Data Deletion Policy

1. Overview

Feedotter LLC (“Feedotter”, “we”, “our”, or “us”) is committed to protecting customer data and ensuring that data is retained only as long as necessary for business, legal, and operational purposes.

This Data Deletion Policy outlines how and when data is deleted from our systems.

2. Scope

This policy applies to all data processed and stored by Feedotter, including:

  • Customer account data
  • Email content and templates
  • Subscriber and contact data
  • Usage and analytics data
  • Uploaded assets (images, files, etc.)

3. Customer-Initiated Deletion

Customers may request deletion of their data at any time by:

Upon request:

  • Account data and associated content will be scheduled for deletion within 30 days
  • Certain data may be retained if required for legal, compliance, or billing purposes

4. Account Termination

When an account is canceled or terminated:

  • Data is retained for 30 days to allow for recovery or reactivation
  • After this period, data is permanently deleted from production systems

Feedotter is not responsible for data loss after this retention period.

5. Automated Data Deletion

Feedotter may automatically delete or anonymize data based on the following rules:

  • Inactive accounts: Data may be deleted after 12 months of inactivity
  • Temporary processing data: Deleted within 7 days
  • Logs and analytics data: Retained for up to 90 days, then deleted or aggregated

6. Backup and Recovery Systems

  • Data may persist in encrypted backups for up to 30–90 days
  • Backup data is automatically overwritten on a rolling basis
  • Deleted data is not actively restored from backups except in disaster recovery scenarios

7. Legal and Compliance Retention

Feedotter may retain certain data beyond standard deletion timelines when required to:

  • Comply with legal obligations
  • Resolve disputes
  • Enforce agreements
  • Maintain financial and billing records

8. Third-Party Services

Feedotter uses third-party providers (e.g., cloud infrastructure, email delivery services).

  • Data shared with these providers is subject to their retention policies
  • Feedotter will request deletion of customer data from subprocessors when applicable

9. Data Deletion Methods

Feedotter uses industry-standard methods to securely delete data, including:

  • Logical deletion (removal from active systems)
  • Overwriting or cryptographic erasure where applicable
  • Automated cleanup processes

10. Verification and Audit

  • Data deletion processes are periodically reviewed
  • Internal controls ensure deletion requests are processed in accordance with this policy

11. Changes to This Policy

Feedotter may update this policy from time to time. Updates will be posted on our website with a revised effective date.
